Software for consultancies and agencies, built on your method
Software for consultancies, agencies and advisory firms: we build client portals, proposal and report generators, AI assistants that know your own documents, and tools that turn your method into something clients can use.
Overview
A consultancy sells knowledge and time, and most of its software problems come from both being scattered. Client documents live in e-mail threads, the latest version of a report is on someone's laptop, proposals are copied from the last similar one, and the firm's method - the questionnaire, the scoring model, the checklist that makes you better than the next firm - exists as a set of spreadsheets only seniors know how to use. We build software around that: a portal where clients find their documents and approve deliverables, generators that assemble proposals and reports from your templates, an AI assistant that answers from your own past work, and tools that put your method in a form juniors and clients can use.
Do not build custom for things every firm does the same way. Time tracking, invoicing and a standard sales pipeline are covered by inexpensive ready-made tools, and we will tell you to use them. Custom software pays off where your firm is different: the way you deliver an engagement, the analysis you run for every client, or a method you could sell as a product rather than only as hours.
Where it hurts
- Clients send documents by e-mail, and before every meeting we search five threads for the latest version.
- Each proposal starts as a copy of the last similar one, and old client names keep slipping through.
- Our method lives in spreadsheets that only two senior people know how to use.
- New colleagues ask the same questions because the answers are buried in old reports.
- We keep thinking we could sell our analysis as a tool, not only as consulting days.
What we build for consultancies and agencies
05- 01
Client portal
One place where clients upload documents, see the status of their engagement, comment on drafts and approve deliverables - instead of long e-mail threads.
- 02
Proposal and report generator
Proposals, engagement letters and reports assembled from your templates and engagement data, so drafting starts at eighty per cent, not from a copy.
- 03
AI on your own documents
An assistant that searches your methods, past reports and templates and answers with sources, with access limited to what each person may see.
- 04
Your method as a tool
The questionnaire, scoring model or analysis behind your advice, built as a web tool your team - or your clients - can run consistently.
- 05
Engagement overview
Engagements, phases, deadlines and who is working on what, built around how your firm actually delivers, alongside the tools you already use.
How we work together
-
One engagement, end to end
We follow one real engagement from first enquiry to final report and see where documents, versions and know-how get lost.
-
The method on paper first
Before building a method tool, we write down your questions, weights and rules with the partners who own them, so the software reflects how you actually advise.
-
Pilot with one team and a few clients
One team and a handful of trusted clients use the portal or tool first; we adjust the wording and steps before the whole firm switches.
-
Your development department
After launch we stay on a monthly basis: new templates, new services, changes to the method and fixes - your development department without hiring one.
No project price list. A fixed price before we start.
Every project is different, so the price depends on what you need and how much of it. The first call is free of charge, and you always get a fixed price in writing before any work starts - no surprises.
- 01The first call is free and commits you to nothing
- 02You get a fixed price in writing before work starts
- 03You own the code and data once the work is paid for
- 04Hourly work and extra developers: €40-60 per hour
- 05After launch: software maintenance and development, monthly

Questions
-
01 Is client data safe in a portal and an AI assistant?
We design for confidentiality from the start: each client sees only their own engagement, staff see only what their role allows, and the AI assistant respects the same permissions when it searches documents. We choose hosting and AI providers that keep data in the EU and do not use it to train models, and you decide how long documents are kept.
-
02 Should we build a CRM or use an existing one?
For a standard sales pipeline, use an existing CRM - it is cheaper and good enough. Build only where your process does not fit: an engagement flow with steps no CRM knows, a client portal, or a tool built on your method. The custom parts can work alongside the CRM you already have.
-
03 Can we turn our methodology into a product clients pay for?
Often yes, and it is one of the better reasons to build. We start by putting the method on paper and testing it as an internal tool with your own team. Once it gives consistent results, it can be opened to clients as a paid tool or subscription. Not every method works without a consultant in the room, and we will say so if yours does not.
-
04 How much does software for a consultancy cost?
It depends on the scope - a client portal, a generator, an AI assistant or a full method tool are very different projects. That is why we do not publish a price list. The first call is free, and the price is agreed in writing before work starts.
-
05 We are a small firm. Is this only for large consultancies?
No. Small firms often gain the most, because a few senior people carry all the know-how and every hour they spend on admin is an hour not billed. A first version can be one focused tool - a proposal generator or a client portal - and grow from there.
Which part of your work deserves software?
Walk us through one engagement. The first call is free, and the price is agreed in writing before any work starts.
Completely free. No commitments.
