Software for schools and training centres, from enrolment to certificate
Software for education and training: we build online enrolment, timetables, attendance tracking, student portals and certificate generation for private schools, language schools, training centres and course providers.
Overview
A private school or training centre runs on a cycle that repeats every term: enquiries, placement, enrolment, groups, a timetable that has to fit teachers and rooms, attendance, payments in instalments, and a certificate at the end. Most providers stitch that together from a web form, an Excel timetable, a learning platform and the accounting software, with someone in the office copying names between all four. We build the part that ties the cycle together - enrolment that fills the right group, a timetable that knows who is free, attendance that teachers record on their phone, and certificates that print themselves.
Do not build your own learning platform if Moodle, Google Classroom or a course platform already delivers your lessons well - we would rather connect to it than replace it. Custom software makes sense for the administration around teaching, which is where providers differ most: how you test and place students, how you price packages and instalments, how you report to companies that send employees, or how you track participants who come with an HZZ education voucher.
Where it hurts
- Enrolment comes through a web form, and someone retypes each application into Excel and then into the accounting program.
- Building the timetable takes days because teachers, rooms and groups never fit on the first try.
- Teachers mark attendance on paper, and at the end of the course we count it by hand for the certificates.
- Parents and students ask by phone what they owe, which group they are in and where the materials are.
- Companies that send employees to our courses want attendance reports we put together manually.
What we build for schools and training centres
06- 01
Online enrolment and placement
Enrolment with a placement test or interview booking, payment by card or instalments, and the student lands in the right group without retyping.
- 02
Timetables and room planning
Groups, teachers and rooms planned together, with conflicts flagged and changes sent to the people affected.
- 03
Attendance and certificates
Teachers record attendance on their phone; certificates and confirmations are generated from the attendance and results you already hold.
- 04
Student and parent portal
One login for timetable, materials, payments due and messages, so the office stops answering the same questions by phone.
- 05
Reports for companies
Attendance and progress reports for businesses that send employees, produced automatically for each group or period.
- 06
Enquiry assistant
An AI assistant that answers questions about courses, levels, dates and prices from your own catalogue and passes real enrolments to the office.
How we work together
-
One term, start to finish
We walk through one real term with the office and a teacher: how enquiries arrive, how groups form, where payments and certificates get stuck.
-
Ready before enrolment opens
We plan the first version around your calendar, so it goes live before an enrolment period rather than in the middle of a term.
-
Tested by staff and students
The office and a few teachers use it on one group or one course first, and we fix what confuses them before it reaches everyone.
-
Your development department
After launch we stay on a monthly basis: new courses, new price models, term changes and fixes between terms - your development department without hiring one.
No project price list. A fixed price before we start.
Every project is different, so the price depends on what you need and how much of it. The first call is free of charge, and you always get a fixed price in writing before any work starts - no surprises.
- 01The first call is free and commits you to nothing
- 02You get a fixed price in writing before work starts
- 03You own the code and data once the work is paid for
- 04Hourly work and extra developers: €40-60 per hour
- 05After launch: software maintenance and development, monthly

Questions
-
01 Should we build our own learning platform?
Usually not. Moodle, Google Classroom and course platforms deliver lessons and materials well, and rebuilding them is expensive. What providers lack is the administration around teaching - enrolment, timetables, payments, attendance and certificates - and that is where custom software pays off. It can work alongside the platform you already use.
-
02 How do you handle the personal data of students and minors?
We design for GDPR from the start: only the data you actually need, clear roles for who sees what, parental access where students are minors, and data stored in the EU. You remain the data controller and decide on retention; we build the software so those rules are easy to follow.
-
03 Can students pay online and in instalments?
Yes. Enrolment can take a card payment or set up an instalment plan, with reminders before each due date and a clear overview of what has been paid. Invoices can still be issued in the accounting program you use today.
-
04 How much does software for a school or training centre cost?
It depends on the scope - how many courses and locations, whether you need a student portal, online payments or company reports. That is why we do not publish a price list. The first call is free, and the price is agreed in writing before work starts.
-
05 When is the right time to start?
Ideally a few months before an enrolment period, so the first version is tested and ready when applications open. Starting in the middle of a term is possible, but we would then launch the new parts gradually, one course or one group at a time.
Where does your term get stuck?
Tell us how a student gets from enquiry to certificate. The first call is free, and the price is agreed in writing before any work starts.
Completely free. No commitments.
